Exporting Financial Data
You can export your financial data from Cattle360 to share with your accountant, keep offline records, or import into QuickBooks Online.
What You Can Export
- Transactions for QuickBooks — Date, description, and amount, in the layout QuickBooks’ bank import expects.
- Transaction detail — Every field Cattle360 holds for each transaction, including category, Schedule F line, vendor, payment method, groups, tags, and linked animals. Built for your accountant rather than for QuickBooks.
- Vendor list — The vendors used by the transactions you are exporting, for QuickBooks’ vendor import.
- Chart of accounts — Your categories written as QuickBooks accounts, to import once before your first batch of transactions.
- Profit & Loss report and Schedule F report — Printed or saved as PDF from their own pages.
- Tax packet — One ZIP file for your tax preparer with a full calendar year: Schedule F, line detail, spreadsheets, and receipts. See Creating a Tax Packet for Your Preparer.
How to Export
- Go to the Finance workspace or the Ledger.
- Set the date range, and apply any category, vendor, or type filters you want.
- Click Export. On a phone, open Actions and choose Export to QuickBooks.
- Choose whether to export the transactions as you have them filtered, or all of them.
- Tick the files you want, then click Export. Each file downloads separately; in the mobile app they are handed to the share sheet so you can save or send them.
Importing into QuickBooks Online
- If this is your first import, bring in the chart of accounts file first, then the vendor list. Both use QuickBooks’ own import wizards under Settings › Import data.
- For the transactions, go to Transactions › Bank transactions › Upload from file and pick the QuickBooks transactions file.
- Map the columns when QuickBooks asks, and pick the account the activity belongs to.
- Review the imported rows in QuickBooks and categorize them there.
Categories do not carry across on the transaction import. QuickBooks treats an uploaded file as un-reviewed bank activity, so it deliberately ignores any category column. That is what the chart of accounts file is for: import it first so the accounts you want already exist when you categorize. If you only need the categories for your accountant, use the transaction detail file instead — it keeps them.
Tips
- Export before tax season. Pull your full-year transaction detail and Profit & Loss report for your accountant.
- Filter first, then export. Any filters you have applied carry into the export, so the file contains only the data you need.
- Watch for duplicates. Cattle360 does not track what you have already imported. If you export overlapping date ranges, QuickBooks will take the same transactions twice — export a period once, or delete the earlier batch in QuickBooks first.
- Sale-ticket income is already in your export. Transactions created from animal sales are exported like any other. If you also connect the same bank account to QuickBooks directly, expect to match those deposits rather than import them twice.
- Use the four-column layout unless QuickBooks rejects it. The three-column layout writes expenses as negative amounts, which is a common source of inverted imports.
