Managing Users
Cattle360 supports multiple users on a single account. You can give other people on your operation their own login, with the level of access that suits their job — and add name-only records for owners who will never sign in at all.
How to Add a User
- Click Settings in the navigation menu.
- Select User Settings.
- Under Team Members, expand the panel for the role you want to add — Admin, Manager, Readonly, or Reference.
- Click Add Admin (or Add Manager, Add Readonly, Add Reference).
- Enter their first name, last name, and email address. Reference users do not need an email.
- Click Save.
The new user receives an email with a link to confirm their login and set a password. Reference users get no email, because they never sign in.
You will only see the panels and Add buttons for the roles you are allowed to manage. See Who Can Manage Whom below.
User Roles
Besides the account owner, there are four user types. Pick the one that matches what the person actually does on the operation:
- Account Owner — The person who created the account. Full access to everything, including the subscription and billing, and the only role that can reset or delete the account’s data. There is exactly one owner, and the role cannot be reassigned from this screen.
- Admin — A co-owner for everything except billing. Admins do all the day-to-day recordkeeping, change farm and default settings, see financial data, and manage every other user — including other Admins. They cannot touch the subscription or reset the account.
- Manager — A herd manager. Full day-to-day recordkeeping: animals, groups, reports, weights, health, breeding, pastures, tasks, and checks. Farm and default settings are view-only, financial data is off limits, and while Managers can add and edit Managers, Readonly, and Reference users, they cannot create or edit an Admin and cannot delete anyone.
- Readonly — Can look, but not touch. Readonly users see the herd, groups, and reports, but cannot add, edit, or delete records, and cannot see financial data. Useful for a veterinarian, an accountant’s assistant, or a family member who just wants to follow along.
- Reference — A name-only placeholder with no login and no email. Use it for animal owners who will never sign in — a partner, an heir, or your farm/business itself. Reference users appear in every Owner dropdown, and pair well with the Default Owner setting so new animals land on the farm name instead of a person.
What Each Role Can Do
| Owner | Admin | Manager | Readonly | |
|---|---|---|---|---|
| Animals, groups, reports, weights, health, pastures | Add, edit, delete | Add, edit, delete | Add, edit, delete | View only |
| Farm and default settings | Edit | Edit | View only | View only |
| Financial data | Yes | Yes | No | No |
| Account-wide notification settings | Yes | Yes | No | No |
| Add and edit users | All roles | All roles | Manager, Readonly, Reference | No |
| Delete users | Yes | Yes | No | No |
| Subscription and billing | Yes | No | No | No |
| Reset or delete account data | Yes | No | No | No |
Every user, whatever their role, can edit their own profile and manage their own personal notification preferences.
Who Can Manage Whom
A user can never hand out more access than they have themselves:
- The Owner and Admins can add, edit, and delete every other user, including Admins.
- Managers can add and edit Managers, Readonly, and Reference users. Admins are out of reach entirely — a Manager cannot create one, edit one, or promote anyone into the role.
- Readonly and Reference users cannot manage anyone.
- Nobody can delete themselves, and the account owner cannot be deleted.
Editing or Removing a User
- Go to Settings > User Settings.
- Expand the role panel that contains the user and click Edit next to their name.
- Change their details or role, then click Save — or click Delete to remove them.
Changing someone’s role takes effect the next time they sign in. A removed user can no longer access the account, and their past actions are retained in the audit log.
You can also send a password reset from this dialog if a user is locked out.
Tips
- Each person should have their own login. Sharing credentials makes it impossible to track who made which changes in the audit log.
- Add ranch hands and managers. Giving team members their own login lets them record data in the field from their own device.
- Manager is the right default for hired help. They can record everything in the field without being able to change your settings, see your books, or add users above themselves.
- Use Readonly for outside help. A vet or bookkeeper can see what they need without any risk of changing a record.
